Mailing List Guidelines

Why Guidelines?

DigitalEve Japan is a virtual organization and members must be subscribed to the DE-Japan mailing list.

Our mission is to help women reach their goals through the use of technology. Through our Web site, mailing list, workshops and events, we provide a women-focused, community based forum where our members can discuss issues, network, mentor and learn.

The following guidelines will help to keep the list on-topic, friendly, and easy to use. If you have any questions about these guidelines, please send an e-mail to listmanager@digitalevejapan.org

These guidelines are for DigitalEve Japan and any city chapters that might form in Japan. Each city chapter is responsible for defining what is and is not acceptable on their general discussion list. Check with your chapter to see what its rules are.

Acceptable Subjects

  • Posts must relate to the mission of DigitalEve.
  • What's acceptable for general discussion:
    • Succinct questions and answers
    • Announcements about events
    • Product information
    • Discussions of workplace issues
    • Other topics related to the mission of DigitalEve
  • Topical Lists: Posts must relate to the designated topic of the list. At this time, DigitalEve Japan does not host any topical lists.

Unacceptable Subjects

  • Jokes, chain letters, and junk mail.
  • Spam. Any member sending spam to a mailing list will immediately have their posting privileges revoked. Spam is defined as e-mail which does not conform to the guidelines of the list and which is self-serving or promotional in nature.
  • Virus warnings. Virus warnings will be listed on the DE HQ website and those of urgent consequence will be announced by the Steering Committee.
  • Topics generating more heat than light. Some topics start well and end badly. The list manager and Steering Committee members have the authority to end certain discussions and invoke censure on those who choose to continue them.

List Etiquette

  • Be sure that the subject of your messages reflects what's actually in your message. If you are starting a new topic in reply to someone else’s message, please edit the Subject line.
  • Special subject headings:
    • [OT] Off-topic posts (not related to technology)
    • [JOB] Job wanted/job offered
    • [NEWS] DigitalEve news (from SC members)
    • [ANNOUNCE] Announcement of events (from any member)
    • [COMPILE] Compilation of answers to a member’s question
  • Snip! When replying to a message, only quote the portions that are relevant; delete the rest.
  • If you are having problems with the list (or with a member on the list) please contact listmanager@digitalevejapan.org
  • Watch your replies. A private e-mail may be more appropriate than a post to the entire list. This is especially true of replies that say “I agree!” or “Me, too!” Unless your post contains additional comments on the subject at hand, please send your comments privately.
  • As we are a bilingual list with members of varying language abilities, please offer grammatical, spelling, and other corrections privately and only when requested.
  • If you’d like to discuss an article or citation, use an excerpt/quote from the material and include the URL. Do not post copyrighted material.
  • Practice respect and appreciation for every member. If you choose not to be supportive, then do not post your thoughts.
  • Post a compilation of answers to your question. In order to get a comprehensive response to your questions, offer to share the results you receive. Ask your question, then compile a summary of the responses and post it to the list.

E-mail Attachments

Attachments are not allowed on our mailing lists. This includes HTML mail, file attachments, electronic business cards, vcards, etc. Why? Prohibiting attachments prevents viruses from propagating themselves on our lists. Also, attachments can be large and take up valuable space.

Members Only

  • All messages posted by members to DigitalEve mailing lists are considered private. You may not forward them to anyone without prior express written permission of the author.
  • Please do not pose questions for non-members to the list. One of the benefits of membership is that you gain access to the knowledge of our members. If your friends and relatives would like that access, encourage them to join.

List Censure

The purpose of censure is to encourage supportive participation on the list. Although we hope our members will respect these guidelines, if there are problems that cannot be resolved with courtesy, the following steps of censure will apply:

  1. A warning from the list manager (informal, but designed to get the point across)
  2. A warning from the list manager, with a copy to the DigitalEve Japan Steering Committee.
  3. A third warning from members of the Steering Committee indicating membership will be revoked if inappropriate posting continues.
  4. All list privileges halted (effectively terminating membership)

Generally, censure will proceed from step 1 through 4. However, some offenses are so great that the list manager will take immediate action at a higher level and pass it on to the governing body for review.

  • Spam is considered a serious offense -- anyone who sends a true spam to the list will have her membership privileges removed immediately.
  • E-mail harvesting is also a serious offense. If it's brought to our attention that a member is using our list to harvest names specifically for targeting spam , she will immediately lose her membership privileges.
  • The integrity of DigitalEve as an organization that serves its members worldwide depends on protecting the respect and privacy of members. Any member found violating this basic principal will lose posting privileges immediately, pending an investigation by a peer review board.

If censure step 4 is reached, a quorum of the DigitalEve Japan Steering Committee will review and decide the case. Additionally, members of the DigitalEve HQ staff may participate.

Any person who is terminated from the list (censure step 4) may appeal. DigitalEve will set up a peer review board. Any censure problem put before a peer review board will be investigated within a 30-day period. Should that result be further appealed, DigitalEve HQ will convene an international peer review board to review the appeals.
